Retreat Booking Terms & Conditions

By booking a retreat with Samoa Eco Yoga Retreat Pty Ltd ("the Organiser"), you acknowledge that you have read, understood and agree to these Terms & Conditions.

Booking & Payments

A non-refundable deposit is required to secure your place on the retreat.

The remaining balance is payable in accordance with the payment schedule outlined during the booking process through our booking platform (Youli). By confirming your booking, you agree to make all payments by their due dates.

Guests are welcome to pay via direct bank transfer to avoid credit card processing fees. Bank details are provided on your invoice and Trip Page. Please include your name as the payment reference.

Failure to make payments by the due dates may result in cancellation of your booking and forfeiture of monies paid, subject to the cancellation policy below.

Travel Insurance

Comprehensive international travel insurance is mandatory for all guests.

Your policy should include, at a minimum:

• Overseas medical expenses

• Trip cancellation and interruption

• Flight delays or cancellations

• Loss, theft or damage to personal belongings

It is your responsibility to ensure appropriate travel insurance is in place before travelling.

Samoa Eco Yoga Retreat Pty Ltd accepts no responsibility for any medical expenses, travel disruptions, cancellations, theft, loss, damage or personal costs incurred before, during or after the retreat.

Cancellation & Refund Policy

If you cancel your booking 61 days or more before the retreat start date, all monies paid (excluding your non-refundable deposit) will be refunded.

For cancellations made within 60 days of the retreat commencement:

• 45–60 days prior: Payments made will be transferred as a credit towards a future Samoa Eco Yoga Retreat of equal value, subject to availability and used within 24 months.

• 44 days or less: All payments are non-refundable and non-transferable.

If you are unable to attend, you are welcome to transfer your booking to another person, subject to approval by the Organiser and provided all outstanding payments have been made.

Retreat Changes & Force Majeure

Every effort will be made to operate the retreat as advertised. However, Samoa Eco Yoga Retreat Pty Ltd reserves the right to make reasonable changes to the itinerary, accommodation, instructors, activities or schedule where necessary.

We also reserve the right to cancel a retreat if minimum participant numbers are not met or if circumstances beyond our reasonable control make the retreat unsafe or impractical to operate. These circumstances may include, but are not limited to:

• Natural disasters

• Severe weather events

• Political unrest

• Airline disruptions

• Government restrictions

• Pandemics or public health emergencies

• Any other force majeure event

Should the Organiser cancel a retreat before it commences, guests will be offered either:

• a full refund of monies paid to Samoa Eco Yoga Retreat Pty Ltd; or

• the option to transfer their booking to another retreat.

The Organiser is not responsible for any additional expenses incurred by guests, including flights, accommodation, travel insurance, visas or other travel arrangements.

Health & Fitness

By registering for the retreat, you confirm that you are medically fit to participate in yoga, movement classes, excursions and retreat activities.

You agree to disclose any relevant medical conditions, injuries, allergies or dietary requirements before the retreat commences.

You acknowledge that all participation is voluntary and that you remain responsible for exercising within your own physical limits. You agree to stop any activity that causes pain, discomfort or concern and to inform an instructor if assistance is required.

Assumption of Risk

Our retreats include a range of optional activities, including but not limited to:

• Ocean Flow Yoga

• Yin Yoga

• Meditation and Yoga Nidra

• Swimming

• Snorkelling

• Coral planting

• Boat transfers

• Hiking and walking

• Visits to beaches, waterfalls and ocean pools

• Cultural experiences and other outdoor activities

You acknowledge that participation in these activities carries inherent risks that cannot be completely eliminated, including the risk of injury, illness, property damage or loss.

You voluntarily assume these risks and accept responsibility for your own participation.

Samoa Eco Yoga Retreat Pty Ltd, its directors, instructors, contractors, local guides and venue partners take reasonable care to provide a safe experience but are not liable for injury, illness, loss, damage or expense arising from participation in optional activities, except where liability cannot be excluded under Australian law.

Photography & Marketing

During the retreat, photographs and videos may be taken to capture the experience and share the beauty of Samoa, Ocean Flow and our retreat community.

These images may be used by Samoa Eco Yoga Retreat Pty Ltd for marketing purposes, including websites, social media, newsletters and promotional material.

If you would prefer not to appear in photographs or videos, please notify the Organiser before or during the retreat. We will happily respect your wishes and make every reasonable effort to exclude you from promotional content.

Guest Conduct

Our retreats are built on kindness, respect and community.

By attending, you agree to contribute to a safe, welcoming and inclusive environment for fellow guests, instructors, local hosts and the Samoan community.

Guests are expected to respect the customs, culture and traditions of Samoa and to embrace the spirit of Fa'a Samoa with openness, humility and respect.

The Organiser reserves the right to ask a participant to leave the retreat, without refund, if their behaviour is considered abusive, discriminatory, unsafe, illegal or significantly disrupts the wellbeing or enjoyment of other guests, staff or local partners.

Limitation of Liability

To the maximum extent permitted by law, Samoa Eco Yoga Retreat Pty Ltd, its directors, employees, instructors, contractors, venue partners and local suppliers shall not be liable for any injury, illness, death, loss, damage, delay or expense arising from participation in the retreat, except where liability cannot legally be excluded under Australian Consumer Law.

Acceptance of Terms

By registering for a Samoa Eco Yoga Retreat, paying a deposit or making any payment towards your booking, you acknowledge that you have read, understood and agree to these Terms & Conditions.
